How Limo Passenger Data Is Kept and Erased on LimoFarmOut
Limo passenger data privacy on LimoFarmOut: who sees passenger details, why they are removed 180 days after a job closes, and how sealed records are kept.

When you farm out a trip, you share more than a pickup address. You share your client's name, their phone number, maybe their flight number and a note about how they like to travel. For many operators, that is the most sensitive thing they own.
So it is fair to ask: once that data is on a farm-out platform, who can see it, what is it used for, and when does it go away?
This post answers those questions using only what LimoFarmOut's privacy policy says. If you are responsible for your clients' data, it is worth reading in full. Here is the plain-language version.
Whose data is it?
The privacy policy starts with an important point. Passenger details on a job belong to the posting company's client relationship. You, the poster, decide what passenger data to share. LimoFarmOut processes it to run the job for you.
In other words, your passengers are your clients. The platform handles their details on your behalf and only to get the trip done.
What passenger data is collected
On a job, the poster may add:
- Passenger names.
- Passenger phone numbers.
- Flight numbers.
- Private notes.
The job also gathers chat messages between the poster and the driver, plus texts and WhatsApp messages sent through the private trip line, which are saved in the job's chat. Calls through the line are connected live and never recorded.
Card and bank details are a separate matter. They are collected and held by Stripe, not by LimoFarmOut, which sees only limited details such as the last four digits.
Who can see it
Access is limited by design.
- Drivers see passenger details only for jobs they accepted. Someone browsing the board sees the trip, not the person.
- Drivers reach passengers through a masked relay for calls, SMS and WhatsApp. It works from acceptance until 30 minutes after the trip is completed, and neither side sees the other's real number. See Private Trip Numbers.
- Drivers must not contact passengers outside the job. That rule is part of the no-poaching promise.
- Contact details typed into chat are removed before the message is sent, as explained in Why Contact Details Are Removed From Trip Chat.

What it is used for, and what it is not
The privacy policy is direct about limits:
- Passenger data is used only to run the job.
- LimoFarmOut never markets to farm-out passengers.
- Personal data is not sold, and it is not used for third-party advertising.
- The site uses cookies and local storage only to keep users signed in and remember preferences. There are no advertising or tracking cookies.
The platform does use aggregate, anonymised statistics about prices and reliability to run and improve the service, which may include future direct booking features. Those statistics never include individual passenger data.
The 180-day rule
Here is the part most operators want to know. Passenger names, phone numbers, flight numbers, private notes and chat text are removed from the job 180 days after it closes. After that, drivers and posters can no longer see them.
Six months is long enough to handle anything that comes up after a trip, such as an extra charge, a question from the client or a late complaint. It is short enough that a driver who worked a job last year cannot scroll back and find your client's number.
The sealed records copy
Removing data from view does not mean the platform forgets that a trip happened. Businesses need records for disputes, insurance and legal claims. The privacy policy handles this with a sealed copy:
- Before the 180-day removal, a sealed, encrypted records copy is made.
- It is kept for 7 years after the job closes, then erased.
- Only the owners of the business can open it, and every opening is logged.
- It is never sold, never used for marketing and never shared with drivers or posters.
This is the balance most professional services aim for: day-to-day access ends quickly, while a locked record exists if a serious claim ever needs it.
What is kept without personal data
Some trip details carry no personal information at all: the city, route, date, service, vehicle, price paid, time and distance driven. These are kept to set fair prices and improve the service. Nothing in that list identifies your passenger.
Other retention periods worth knowing
The same section of the privacy policy covers other records:
- Payment and tax records: kept as long as tax law requires, usually 7 years.
- Driver documents: kept while the driver's account is open, erased when it is deleted.
- Account data: kept while the account is open and for up to 2 years after it closes, then erased. You can delete your account in the app.
- Records of disputes, fraud or rule breaks: kept for up to 7 years after the matter is closed.
Your rights and your passengers' rights
Depending on where people live, laws such as the EU's GDPR, the UK GDPR, Canada's PIPEDA and California's CCPA give them rights over their data, including access, correction, deletion and portability. You can read the official overviews from the European Commission, the Office of the Privacy Commissioner of Canada and the California Attorney General.
A passenger with a privacy question may contact the company that booked their ride, or contact LimoFarmOut at support@limofarmout.com. Anyone can also complain to their local data protection authority.
Where the data is held
The policy says LimoFarmOut is operated from Toronto, Canada, and that its hosting, email, payment and phone providers store data mainly in the United States. Where the law requires, safeguards such as standard contractual clauses are used. Driver documents are encrypted, and data is sent over encrypted connections.
What this means for you as an operator
You can tell your clients, honestly, that their details are shared only with the chauffeur who accepted their trip, reached through a masked line, removed from view six months after the job, and never used to market to them. For many corporate accounts, that is a stronger answer than a forwarded WhatsApp message could ever give. See why chauffeurs are moving away from jobs passed by text.
