Cut Limo Dispatch Admin: No Invoices to Chase
Prepaid farm-out cuts limo dispatch admin: no affiliate invoices, no net-60 terms, no chasing. See where the paperwork goes when every job is paid up front.

Ask a limo dispatcher what takes up their day and the honest answer is rarely "driving decisions". It's admin. Matching affiliate invoices to trips. Chasing a payment from an affiliate who owes you for last month. Explaining to a driver why their money hasn't arrived. Re-sending trip details because the first message got lost. Arguing about forty minutes of waiting time three weeks after the trip.
None of that makes a passenger happier. It just fills the hours between calls. This guide looks at where that admin comes from in traditional farm-out work, and what disappears when every job is prepaid on LimoFarmOut.
Where farm-out admin comes from
Most of the paperwork in farm-out work comes from one design choice: the trip happens first and the money moves later. Once you accept that order, everything else follows.
- Somebody has to raise an invoice.
- Somebody has to check it against the trip.
- Somebody has to agree the extras after the fact.
- Somebody has to wait 30 to 60 days, and somebody has to chase when it's late.
- Somebody has to keep track of who owes whom across dozens of affiliates.
Flip the order, and most of that list goes away.
Prepaid: the money moves first
On LimoFarmOut, you pay the driver payout plus the platform fee by card when you post the job. LimoFarmOut holds that money while the trip runs. A job that has not been paid for simply cannot be posted.
Here's what that removes from your desk:
- No affiliate invoices. The driver doesn't send you a bill. Their payout is released automatically within 48 hours of drop-off. A new client's first 5 trips are paid within 84 hours, as a fraud safeguard.
- No net-30 or net-60 terms. Nobody is extending credit to anybody, so there's no ledger of who owes what.
- No chasing. You never call a driver to ask for an invoice, and they never call you to ask where their money is.
- No price arguments later. If a driver wants a higher price, they send a counter-offer before the trip. If you accept, you pay the difference up front.
The comparison on our limo affiliate network page sets out the difference between invoice-based affiliate work and prepaid farm-out side by side. For the money flow in detail, read prepaid farm-out: how the money flows.

Extras without the back-and-forth
Extras are where post-trip admin usually explodes. Waiting time, overtime on hourly jobs, parking, tolls and extra stops are all legitimate, but agreeing them by phone a week later is miserable for both sides.
On LimoFarmOut, extras have a set path:
- You set the free waiting included and the extra-hour rate when you post.
- The driver sees those terms before accepting.
- When the driver closes the trip, they enter the minutes waited, extra hours, parking and tolls.
- The charge is worked out from the agreed rate.
- You approve it before it's paid.
One approval tap replaces the email thread. Tips work the same way: add one when you confirm the trip and it reaches the driver with their payout.
Fewer messages, because the job carries its own details
A surprising amount of dispatch admin is re-sending information. On LimoFarmOut, the job itself holds it: route, pickup time in local time, vehicle, passengers, bags, flight number, waiting terms and requirements. The driver sees all of it on one trip screen.
That cuts several routine tasks:
- Posting is quicker. Paste the trip from a WhatsApp message and the form fills itself in. Our Paste from WhatsApp guide for dispatchers shows how.
- Status calls drop. En route, On location, Passenger on board and Completed replace "where are you?" calls. See tracking a farmed-out trip live.
- Passenger updates are automatic. The passenger is texted in your company's name with the chauffeur, vehicle and live tracking.
- Time changes are one action. Change pickup time updates the driver's screen and texts the passenger together.
Disputes with a record, not a memory
When something does go wrong, the old way was two companies with two versions of events. Now there's a review window: report a problem within 24 hours and the money stays held while our team reviews it. The team can look at job records, chat history and trip location data, so the conversation starts from facts.
If no problem is reported, the payout releases on its own. You don't have to remember to approve a payment for a trip that went fine.
What it costs, plainly
Joining is free and there's no monthly fee. You pay a platform fee per job, on top of the driver payout: 10% for jobs posted until 31 December 2027 as a launch offer, then the standard 20%. Card payments and payouts are handled by Stripe, through Stripe Connect, and your card details are never seen by LimoFarmOut. If you want to understand how card disputes work at the payment level, Stripe's guide to disputes is a useful read.
Weigh that fee against the hours spent on invoices, reconciliation and chasing, plus the risk of an affiliate who never pays at all. For many dispatch desks, the admin saved is the bigger number.
Where the saved hours go
Dispatchers who spend less time on paperwork spend more time on the things that grow the business: answering calls faster, quoting more trips, looking after VIP clients and building a network of drivers they trust. Ratings help with that last one; you rate every driver after every trip, and good drivers are easy to spot.
If you want the routine that ties it all together, start with the dispatcher's daily farm-out checklist. Questions? The help centre covers posting, cancelling and disputes in detail.

Frequently asked questions
How does prepaid farm-out reduce dispatch admin?
You pay when you post, so there are no affiliate invoices, no 30 or 60-day terms and no chasing. The driver's payout is released automatically within 48 hours of drop-off.
Do drivers send me invoices for farmed-out jobs?
No. The job is paid up front and the payout is released automatically after the trip. A receipt is sent to your inbox.
How are waiting time and tolls handled without invoices?
The driver enters them when closing the trip, the charge uses the terms you set, and you approve it before it's paid through the platform.
What happens if I forget to confirm a trip?
If no problem is reported within 24 hours, the payout releases on its own. You only need to act if something went wrong.
