Track a Farmed-Out Limo Trip Live, Without Phone Calls
How dispatchers track a farmed-out limo trip live: four clear trip steps, a live map, a passenger tracking link and a private line, with no check-in calls.

"Is he there yet?" Every dispatcher knows the call. The client's assistant wants to know, so you call the driver, the driver doesn't answer because he's driving, you send a text, you call the assistant back with "should be any minute". Multiply that by every trip you have farmed out tonight, and half your shift is spent relaying guesses.
Once a trip leaves your own fleet, you lose sight of it. That is the real cost of farming out the old way. This guide explains how LimoFarmOut lets you follow a farmed-out trip live from your screen, so you can answer the client without ringing anyone.
The four steps every trip goes through
When a chauffeur runs a job, their trip screen has one big button for the next step. Each tap updates the trip for you at the same moment:
- En route. The driver has left for the pickup. From this point you and the passenger can see the car on the map.
- On location. The driver has arrived at the pickup address or terminal.
- Passenger on board. The trip is under way.
- Completed. The driver has dropped off, checked the vehicle for anything left behind and closed the trip.
These four words replace most of your check-in calls. "En route" at 18:20 for an 18:45 pickup tells you everything the assistant wants to know.
What you see on your screen
On your job page you see the status, the live map and the chauffeur who accepted: their name, the vehicle and the plate. Because every driver's documents were checked by a person before they could take a job, the name on your screen is a verified chauffeur, not someone a friend of a friend sent.
Location is shared only while the trip is under way, and only while the driver's trip page is open. That keeps tracking focused on the job, which is also what drivers expect.
What your passenger sees
Your client doesn't need to call you to find the car either. When a driver is assigned, the passenger receives a text in your company's name with the chauffeur's first name, the vehicle, a live tracking link and a private number to reach the chauffeur. The tracking page can be shown in the passenger's language: English, Español, Français, Português, العربية or हिन्दी.
For you, that means two things. Fewer calls asking where the car is, and a passenger experience that looks like your service, not someone else's. The chauffeur is the one driving; the brand on the phone is yours.

When you still need to talk
Tracking answers "where is the car". Sometimes you need more: a change of drop-off, a second passenger joining, a gate code. Every trip has its own chat between you and the driver, and the passenger can reach the chauffeur through the private trip line. Neither the passenger nor the driver sees the other's real number, and contact details typed in the chat are removed.
Our guide to communicating through the private trip line and chat covers when to use each. If the change is to the time itself, use Change pickup time on the job page instead of a message, as explained in changing pickup time after posting.
Reading the status like a dispatcher
The statuses are only useful if you act on them. A few habits help:
- No "En route" close to pickup time? Message the driver in the trip chat. If they can't make it, they can give the job back and it returns to the board; you can also ask for a replacement driver from the job page. See what to do when a driver gives a job back.
- "On location" at an airport with no "Passenger on board"? Check the flight. For airport pickups, flight tracking helps the driver time their arrival, and you can compare with a public tracker such as FlightAware.
- Early "Passenger on board"? The client was ready early. The driver can start before the booked time; update the pickup time so your records match.
- "Completed" arrives. Now you review the trip.
After drop-off: confirm, rate, release
When the trip is complete you see it on your job page. If everything went well, tap Trip done: release payment, rate the driver and add a tip if you like. If something went wrong, report it within 24 hours and the money stays held until our team reviews it. If you do nothing, the payout releases on its own after the review window, and the driver is paid within 48 hours of drop-off.
That last step matters for tracking too. The statuses, the chat and the location history are part of the job record. If there is ever a dispute about a late arrival or a no-show, the record shows what happened. A passenger no-show with the driver on location pays the driver in full, which is fair precisely because "On location" is recorded.
Why it's worth moving off the phone
Tracking by phone call costs you time on every trip and still leaves you guessing. Tracking on the job page costs nothing extra: it comes with every job you post. You get a calmer shift, your client gets a link instead of excuses, and the driver can concentrate on the road.
If you want to compare how other networks present their standards, the LimousineAssociation.International sets out screening, insurance and vehicle standards for professional chauffeured transport. For the full flow of a job, see how it works, or browse the job board to see live work.

Frequently asked questions
Can I track a farmed-out limo trip in real time?
Yes. Once the driver taps En route, you and the passenger can see the car on the map, and the status moves through On location, Passenger on board and Completed.
Does my passenger get a tracking link?
Yes. When a driver is assigned, the passenger is texted in your company's name with the chauffeur's first name, the vehicle, a live tracking link and a private number to reach the chauffeur.
Is the driver's location shared all the time?
No. Location is shared only while a trip is under way and only while the driver's trip page is open.
What if the trip status doesn't change near pickup time?
Message the driver in the trip chat. If they can't make it, the job can be given back to the board and you can ask for a replacement driver from the job page.
When is the driver paid after I see Completed?
You can release payment right away, or report a problem within 24 hours. Otherwise it releases on its own, and the driver is paid within 48 hours of drop-off.
