How to Report a Problem During or After a Farm-Out Trip

How to report a problem with a limo trip on LimoFarmOut: the 24-hour review window, held funds, what evidence to give, how disputes are decided and app issues.

Most farm-out trips go exactly as planned. The car arrives, the client is happy, the payout is released and everyone moves on. But in a business with traffic, flights, weather and people, something will occasionally go wrong.

What matters then is having a clear way to raise it, a fair way to decide it, and money that hasn't already disappeared. In a group chat, you have none of those. On LimoFarmOut, you have all three.

This post explains how to report a problem with a limo trip, during the trip or after it, what happens to the money while it is looked at, and how to give the team what it needs to decide quickly.

Two kinds of problems

It helps to separate them.

  1. Trip problems. The driver was late, the vehicle was not what was agreed, the client was unhappy, a charge looks wrong, or the passenger never showed.
  2. App problems. A button doesn't work, a phone number won't save, a call through the private line drops, a sign-in link fails.

They are handled differently, so let's take them one at a time.

Trip problems: the review window

After the driver closes a trip, the poster has a review window to report a problem. The help page and the Terms of Service set it at 24 hours after the trip is marked complete.

If you report a problem in that window:

If no problem is reported, the payout is released to the driver automatically. That is why it matters to act inside the window. Once funds have been released, the clean option of holding them is gone.

What evidence helps

The team may review job records, chat history and trip location data. You can make the review faster by being specific.

Stick to facts. "Driver pressed On location at 9:14 for a 9:00 pickup, passenger waited at Door 4" is far more useful than "terrible service".

Common situations and how they are handled

Late cancellation. If the poster cancels less than 24 hours before pickup, the driver is paid part of the payout for holding the time, and the rest is refunded. The exact amount is shown on the job page before you confirm.

Passenger no-show. If the driver is already at the pickup and the passenger does not show up, the job counts as a passenger no-show, and the driver is paid the full payout. A driver who is on location should press On location so the record shows it.

Extras you don't agree with. Waiting time, overtime, parking, tolls and extra stops added at closing come to the poster to approve before they are paid. If one looks wrong, raise it rather than paying and arguing later. Read Get Paid for Waiting Time, Tolls and Extras for how extras are set and approved.

Driver gave the job back. If a driver gives a job back before pickup, it returns to the board automatically and you are told. You can also ask for a replacement driver from the job page. Repeated give-backs count against the driver's account.

A driver contacted your client outside the job. Report it. Breaking the no-contact rule can close a driver's account, and the facts may be shared with you. See The No-Poaching Promise.

Problems during the trip

Not everything waits until after drop-off. If something is going wrong while the trip is running:

If anyone is in danger, contact local emergency services first. LimoFarmOut is a marketplace, not the carrier, and cannot respond to an emergency on the road.

Card chargebacks

If you are tempted to dispute a charge with your bank instead, contact LimoFarmOut first. The terms ask that you don't file a chargeback for a job that is in, or was decided by, the platform's dispute process. Chargebacks are handled under Stripe and card network rules, which you can read about in Stripe's guide to disputes. Using the platform's own process is usually faster and keeps the full trip record in view.

App problems: Report a problem

For anything technical, every error message in the app has a Report a problem link. It sends the team exactly what you saw, so you don't have to describe a screen from memory. You can also report a problem from the help page, and a person gets back to you. For privacy questions or requests, the support address is support@limofarmout.com. Anyone can also complain to their local data protection authority, such as the Office of the Privacy Commissioner of Canada.

Before you report, a few quick checks fix the most common issues:

Why a clear process protects everyone

For operators, it means your client's complaint is taken seriously and the money is still there while it is reviewed. For drivers, it means a decision based on records, not on whoever shouts loudest in a group. That fairness is part of why prepaid farm-out works. See Prepaid Farm-Out Explained for the full money flow.

Frequently asked questions

How long do I have to report a problem after a trip?

Report it within 24 hours after the trip is marked complete. Opening a dispute in that window freezes the funds for the job.

What happens to the money during a dispute?

It stays held until the team decides. The team may pay the driver in full, refund the poster in full, or split the payment.

What does the team look at to decide?

The facts and evidence both sides give, plus job records, chat history and trip location data.

What if the passenger doesn't show up?

If the driver is already at the pickup and the passenger doesn't show, it counts as a passenger no-show and the driver is paid the full payout.

How do I report a bug in the app?

Use the Report a problem link on any error message, or report a problem from the help page. It sends the team exactly what you saw.
