Chauffeur Licence Expiry Reminders: Stay Active
How LimoFarmOut warns you 30, 7 and 1 days before a licence or insurance expires, what happens if it lapses, and a simple renewal routine to keep taking jobs.

Nobody plans to let their insurance lapse. It happens in the busy weeks: a run of airport jobs, a wedding weekend, a renewal letter that sat under a pile of receipts. Then the date passes, and the next good job goes to someone else.
LimoFarmOut tracks your expiry dates so that is less likely to happen. This post explains how the chauffeur licence expiry reminders work, what happens if a document runs out anyway, and a routine that keeps you working without a gap.
Which documents have expiry dates
When you upload a document, you enter its expiry date. For some documents that date is required:
- Driver's licence.
- Chauffeur or limo licence, or owner-operator licence.
- Commercial insurance.
- Vehicle safety inspection, if you upload one.
- Background check or driving record, if you upload one. Here you enter the date it should be renewed, at most 12 months out.
Vehicle ownership or registration and bus or coach operating authority can have an expiry date if yours has one. Your professional photo and vehicle photos do not expire.
The reviewer can correct an expiry date when approving a document, so the date the reminders use is the one a person checked.
When the reminders arrive
Reminders go out 30, 7 and 1 days before a document expires, and once more if it does expire.
On the Documents screen, the item also changes colour as the date gets closer:
- Amber from 30 days out. A gentle prompt to start the renewal.
- Red in the last 7 days. Time to act now.
- Red, marked Expired once the date has passed.
Your dashboard shows a short alert with the document name, the number of days left and the date, plus a nudge to upload the renewed one.

What happens if a required document expires
If a required document expires, you cannot take new jobs or send offers until an updated one is uploaded and approved. The terms are clear on this: only drivers whose required documents are approved and current can accept work.
The driver agreement also lists a required document expiring as one of the reasons an account can be paused. In practice the fix is the same either way: upload the renewed document and let a person approve it.
What about jobs you have already completed? Payouts for completed trips are still paid, unless they are subject to a dispute or a fraud review.
Renewing without a gap
The best part of the 30-day reminder is that you can act on it straight away. When you upload a renewal while the old document is still valid, the item shows "Renewal waiting for review". Your existing approval stays in place until its own expiry date, so you keep taking jobs while the new one is checked.
A person reviews uploads usually within a business day, as the document review guide explains. Renew in the amber window and the review is finished long before the red one.
When everything is approved, the Documents tab simply says there is nothing to do. To renew from there, open "View or replace a document" and choose "Upload a new one" on the item.
A simple renewal routine
- When the 30-day reminder lands, contact your insurer or licensing office and start the renewal.
- As soon as you have the new document, upload it with the new number and expiry date.
- Check the item shows "Renewal waiting for review", then carry on working.
- Watch for the approval email, which states the new expiry date.
- If it is turned down, read the reason, fix it and upload again. See what to do when a document is turned down.
Licensing offices and insurers set their own renewal timelines, and some take longer than others. In New York City, for example, the Taxi and Limousine Commission publishes its own renewal rules, and in London Transport for London does the same for private hire. Check your own regulator's timing so the 30-day window is enough.
Tell support if something changes early
Expiry is not the only way a document stops being valid. The driver agreement asks you to update a document when it changes, is renewed, or is suspended or cancelled, and to tell LimoFarmOut right away if you lose a licence or your insurance lapses. The platform's check relies on what you upload; it does not watch your licence or policy after review. Keeping it honest is part of being an approved chauffeur.
Keep your own calendar too
The reminders are a safety net, not a substitute for knowing your dates. Many chauffeurs keep a simple list of every licence, policy and inspection with its renewal date, and put a note in their phone calendar a few weeks before each one. Some renewals need an appointment, a medical or a vehicle inspection that cannot be booked at short notice, so the earlier you know, the easier it is.
If you run a small fleet and farm out work as well, do the same for each vehicle you send. A lapsed inspection on one car can take it off the road on a busy weekend.
Why operators care about current documents
For a poster, a driver verified once two years ago is not much comfort. What matters is that the documents are valid on the day of the trip. Because an expired required document blocks new jobs, an operator choosing a driver on the job board can rely on the badge meaning current, not just checked once.
Need a car for a client while you sort a renewal?
If your own vehicle is off the road for paperwork, you can still look after your client. Book a car here, or post the job for another verified driver.
Frequently asked questions
When does LimoFarmOut remind me about expiring documents?
30, 7 and 1 days before the expiry date, and once more if it expires. The item turns amber at 30 days and red in the last week.
Can I keep working while my renewal is being reviewed?
Yes, if you upload it before the old document expires. The old approval stays in place until its own expiry date while the renewal shows "Renewal waiting for review".
What happens if my insurance expires?
You cannot take new jobs or send offers until a renewed certificate is uploaded and approved. Payouts for completed trips are still paid unless there is a dispute or fraud review.
Do vehicle photos expire?
No. Photos do not have expiry dates, but you should upload new ones if you change vehicles.
Does LimoFarmOut check my licence after it is approved?
No. The review relies on what you upload. Tell support straight away if a licence is suspended or your insurance lapses.
