A corporate client asks you to move their people during a three-day conference: airport arrivals, a morning loop between two hotels and the convention centre, a dinner on the second night and departures on the last day. It is a great booking. It is also more Sprinters and coaches than most limo companies own.

Conference and trade show shuttles are where farm-out becomes essential. The client wants one company to deal with, and you want to be that company, even if half of the vehicles belong to someone else.

This guide explains how to farm out shuttle work on LimoFarmOut while keeping the client's programme running to time.

Why shuttle programmes outgrow a limo fleet

Trade fairs and conferences bring thousands of visitors to a city on fixed dates. Associations such as UFI, the global exhibition industry body, and IAEE in the United States represent organisers of shows that fill convention centres year round. Destination bodies such as the Las Vegas Convention and Visitors Authority publish their own figures on how much of their visitor traffic comes from meetings and conventions.

For ground transport, that means a sudden need for high-capacity vehicles: Mercedes Sprinters, minibuses and full coaches, plus a few executive sedans and SUVs for speakers and senior staff. A limo operator with a fleet of sedans can win the contract and still need to find every Sprinter.

Break the programme into jobs

A shuttle programme is easiest to farm out when you split it into clear jobs. For each vehicle, each day, post a job with:

Hourly jobs have a minimum of 3 hours for sedans and SUVs and 5 hours for other vehicles, which covers Sprinters and coaches. Keeping each day as its own job means a change on day two does not disturb day one.

Coaches and buses: authority checked

Large vehicles are regulated more heavily in most countries. On LimoFarmOut, affiliates offering buses and coaches upload their operating authority, and the team checks it. Every chauffeur also has their licences, commercial insurance and vehicle registration checked by a person before they can take any job.

Insurance cover is verified by the team, though LimoFarmOut never provides it. Reminders go out 30, 7 and 1 days before a document expires, and an expired required document stops that driver taking jobs. You can read more in Verified Chauffeurs.

Compare offers for the long days

For a multi-day programme, price is only part of the decision. When you collect offers, each one shows vehicle photos, ratings, free waiting time and extra-hour rates side by side. On a shuttle loop where the client might ask for an extra hour each evening, the extra-hour rate matters as much as the base price.

You can also set the payout yourself and let an automatic raise lift it if nobody takes the job. Your ceiling stays hidden from drivers, and any unused amount is returned to your card.

One payment per job, settled up front

Each job is paid by card when you post it and held until the trip is done. You are not opening credit lines with three different coach companies or waiting on their invoices. The chauffeur's payout is released within 48 hours of drop-off, free to their bank, or instantly for a flat $2.

If the conference runs over, overtime, waiting time, parking, tolls and extra stops are added at the end, you approve them and they are paid through the platform. If a session is cancelled, you can move the pickup time, ask for a replacement driver or cancel with the refund shown before you confirm.

The client sees your company, not ours

Corporate event buyers book the same companies year after year. Your role is to stay their supplier. Each chauffeur agrees, job by job, never to approach your client or the attendees directly; doing so can cost them their account. Passengers reach their driver on a private trip line, never a personal phone. Passengers receive texts in your company's name with the chauffeur, vehicle and live tracking link.

For VIP speakers arriving by air, see farming out airport meet-and-greet pickups. For executives who need a car all day for several days, see roadshows and multi-day hourly bookings.

Running the programme on the day

Once every vehicle is accepted, your job shifts from finding cars to watching them. Each trip moves through the same simple steps: En route, On location, Passenger on board, Completed. You can see every vehicle in the programme move forward on a live map without ringing each driver.

A few habits help on shuttle days:

Chauffeurs and coach operators: shuttle work is steady work

A conference shuttle can keep a Sprinter busy for days. Keep your operating authority and documents current, add clear vehicle photos and turn on alerts. Sign up free, and choose "I drive and farm out" if you also give work away.

Flights and hotels for attendees

Attendees and speakers need flights and rooms as well as transport. Our travel partner BookingWorldwide.net covers flights, hotels and activities:

Frequently asked questions

Can I farm out Sprinters and coaches on LimoFarmOut?

Yes. Choose the vehicle type when posting. Affiliates offering buses and coaches upload their operating authority, which the team checks.

What is the minimum hourly booking for a Sprinter?

Hourly jobs have a minimum of 5 hours for vehicles other than sedans and SUVs, including Sprinters and coaches.

Should a multi-day shuttle be one job or several?

Post each vehicle for each day as its own job. A change to one day then does not affect the others.

How are extra hours paid when a conference overruns?

The chauffeur logs the extra time after the trip, the operator approves it, and LimoFarmOut pays it out.

Will the shuttle operator contact my corporate client?

No. Every chauffeur promises not to contact your client or passengers directly. Calls use a private number and breaking the rule can close their account.
